Notion Admin Features for Data Governance

The following sections highlight key Notion settings and features that help you manage data governance. Each section includes a description, things to review or change, and the plan level required.

👥 People & Access Management

1. Workspace Members

What it is: View and manage all users in your workspace, including their role (workspace owner, membership admin, member, or guest) and which teamspaces they have access to.

Things to change/edit:

• Limit the number of workspace owners (at least 2, but not everyone)
• Review membership admins and their permissions
• Audit guest access and remove outdated guests
• Check which teamspaces each member can access

Plan: All paid plans (Plus, Business, Enterprise). Membership admins and restricted members are Enterprise only.

2. Teamspaces

What it is: Teamspaces create a layer of access control to provision content to specific members. You can view all teamspaces, their owners, members, and access levels (Open, Closed, or Private).

Things to change/edit:

• Review access levels for each teamspace:
  • Open: Anyone can join and view content
  • Closed: Visible to all, but requires invitation to join
  • Private: Only visible to members/owners
